As the Office Coordinator, you will be a crucial part of our Workplace Experience team, assisting our Senior Workplace Experience Manager in creating an inspiring and welcoming office environment for our team and guests. You’ll help ensure our office is aesthetically pleasing, secure, and organized, while also supporting various events that enhance our team’s experience. This part-time role is ideal for someone who has a passion for #care and thrives in a dynamic, fast-paced environment.
Location: San Francisco, CA (Onsite)
Hours: Part-Time, ~32 hours per week (Mondays - Thursdays); 12-month contract
What will you be doing?
Office Aesthetics and Organization
Maintain common areas, ensuring they are clean, well-stocked, and organized.
Assist with meeting room setup and organization, making sure necessary equipment and supplies are available.
Collaborate with the Workplace Experience Manager to implement any necessary changes to the office decor and/or layout.
Event Support
Assist the Senior Workplace Experience Manager with event planning activities, including coordinating with vendors, managing setup for events, and supporting travel arrangements when needed.
Prepare and set up event spaces to ensure everything is in place for a seamless experience.
Support team-building activities, celebrations, and other on-site events.
Facility and Maintenance Management
Conduct regular walkthroughs to ensure a safe, tidy, and welcoming office environment.
Coordinate with external vendors and building management for necessary repairs and maintenance.
Handle minor office maintenance needs and escalate larger issues as needed.
Inventory and Vendor Coordination
Track and manage inventory for office supplies, snacks, and other essentials, placing orders as necessary to keep the office stocked.
Partner with vendors to manage supply deliveries and oversee quality of services.
Access and Security Coordination
Work with building management to manage employee access badges and ensure seamless access for new hires and visitors.
Support general office security protocols to maintain a safe and secure environment.
Qualifications
1-3 years of experience in office management, facilities coordination, or event planning.
Strong organizational and multitasking skills with an eye for detail, and great prioritization skills.
Excellent communication skills and a collaborative mindset.
Ability to work independently and proactively in a dynamic environment.
Proficiency in verbal and written communication, including Google Workspace.
