About the Role:
CloudZero is looking to hire a passionate Executive Assistant who will support the office of the CEO, CTO, as well as the broader Executive team as needed. You will play a pivotal role in managing schedules, coordinating high-level meetings and events (internal & external), handling sensitive communications, supporting presentation content creation and organization, and providing comprehensive administrative support. This position requires a highly organized, proactive, and discreet individual who can manage a wide range of multiple demands and tasks, while anticipating the needs of the business and its leaders.

Responsibilities:

  • Calendar Management: Understands business priorities and manages day-to-day schedules of executives and logistics with ability to organize and prioritize complex calendar against competing priorities and business needs.
  • Communication Liaison: Act as the primary point of contact between the CEO and other executive members, and internal/external stakeholders. Handle all communications with the utmost professionalism and confidentiality.
  • Meeting Coordination: Organize and prepare for executive meetings, including drafting agendas, compiling materials, taking minutes, and ensuring follow-up on action items.
  • Document Preparation: Prepare, review, and distribute reports, presentations, and other documents for the CEO and CTO. Ensure all materials are accurate, well-organized, and professionally presented.
  • Travel Arrangements: Plan and book travel, accommodations, and detailed itineraries for the CEO and CTO. Prepare and process travel expense reports.
  • Project Management: Assist with special projects and strategic initiatives, providing administrative support and ensuring deadlines are met.
  • Event Coordination: Partner with key stakeholders across the business in coordinating internal and external events as needed.
  • Confidentiality: Handle highly sensitive and confidential information with absolute discretion and integrity.
  • Ad Hoc Support: Provide additional support as needed to the executive leadership team.
