We're looking for a Workplace Experience Coordinator in London. You’ll be hands-on in London and remotely manage Amsterdam, with up to 25% travel to keep things on track and drive key events. Your job? Simple: create a workplace that’s efficient, safe, welcoming, and always puts people first. You’ll be responsible for health and safety compliance, making sure the office environment supports everyone’s best work, and handling employee-driven programs that bring energy and excitement to both locations. What you’ll do:
Day-to-Day Operations Management (London & Amsterdam): Oversee daily operations at the London office, ensuring efficiency, cleanliness, safety, and a welcoming environment. Provide remote support for Amsterdam, traveling regularly to address in-person needs and ensure smooth operations. Contribute to oversight of operating budgets by adhering to budget guidelines and following protocol.
Health & Safety Compliance: Ensure compliance with local health, safety, and accessibility regulations in both London and Amsterdam. Conduct safety audits, manage emergency preparedness, and maintain adherence to all protocols, including office access and facilities.
Employee-Driven Programs: Lead and coordinate employee-driven programs with Regional Ambassadors and Hub Champions. Provide structure and guidance to foster collaboration, engagement, and a positive workplace culture through social events and wellness activities.
Event Support: Plan and execute internal events, ensuring alignment with company culture. Provide logistical support for employee-driven events in both London and Amsterdam, ensuring smooth execution.
Collaboration with Senior Workplace Experience Specialist:
Partner closely with the Senior Workplace Experience Specialist to align local operations in London and Amsterdam with company-wide workplace experience goals, meeting the specific needs of these locations. Support with greenhouse gas emission analysis and ensure sustainability goals are met in line with company ESG commitments.Office Access & Security: Work with IT to manage office access, security protocols, and badge systems for both cities. Ensure processes are efficient and meet company policies, coordinating with external vendors as needed, and mirroring processes in the U.S. when possible.
Vendor & Contract Management: Manage vendor relationships in both London and Amsterdam, ensuring high-quality services for maintenance, cleaning, food, and supplies.
Space Utilization & Workplace Enhancements: Work with the Senior Workplace Experience Specialist to optimize office layouts and meeting spaces for efficiency and employee needs. Continuously seek opportunities to enhance the workplace environment in both cities.
If you have some or all of the following, please apply:
3+ years of experience in workplace operations, office management, or facilities coordination, preferably with multi-site management experience.
Strong understanding of health, safety, and office access regulations specific to London and Amsterdam.
Proven ability to organize and execute employee-driven events and programs, fostering a positive and engaged workplace culture.
Exceptional organizational and multitasking skills, with the ability to manage day-to-day operations and coordinate multiple initiatives across different locations.
Strong communication and interpersonal skills, with the ability to work collaboratively with colleagues across various teams and locations.
Comfortable traveling up to 25% of the time to provide in-person support to the Amsterdam office.
Ability to work independently while also partnering closely with the Senior Workplace Experience Specialist to achieve shared goals.
Familiarity with Google Suite, Envoy, WeWork, GrubHub preferred.
